Key Responsibilities:
Transaction Management & Client Query Resolution
- Manage transactions while ensuring compliance with required quality standards.
- Handle incoming client queries via telephone and email in a professional and courteous manner.
- Document essential user details, including name, department, contact information, and issue description.
- Update availability in the RAVE system to optimize process productivity.
- Record, track, and document all received queries, problem-solving steps, and resolution outcomes.
- Follow established processes and procedures to resolve client queries effectively.
- Ensure query resolution aligns with the Service Level Agreements (SLAs) defined in the contract.
- Utilize internal knowledge bases, resources, and FAQs to provide effective problem resolutions.
- Gain product knowledge to enhance client interactions and troubleshooting efficiency.
- Analyze call logs to identify recurring issues and implement preventive measures.
- Maintain and update self-help documents to improve resolution speed.
- Identify critical issues and escalate unresolved cases to the Team Leader when necessary.
- Provide clients with complete product information and disclosures before and after interactions.
- Ensure compliance with service agreements to mitigate legal risks.
Customer Support & Troubleshooting
- Deliver exceptional customer service through efficient diagnosis and troubleshooting.
- Provide product support by guiding clients through step-by-step solutions.
- Assist clients in navigating product menus and understanding key features.
- Troubleshoot client queries in a professional, user-friendly, and courteous manner.
- Maintain accurate logs and records of all customer interactions per standard procedures.
- Process and document incoming calls and emails using designated tracking software.
- Offer alternative solutions to clients where applicable to enhance customer retention.
- Communicate solutions clearly and effectively, tailoring messages to the audience.
- Conduct follow-ups and scheduled callbacks to collect feedback and ensure SLA compliance.
Continuous Improvement & Training
- Develop skills to ensure operational excellence and maintain high customer service standards.
- Participate in product training sessions to stay updated on features, changes, and enhancements.
- Enroll in product-specific and additional training as per client requirements.
- Collaborate with team leaders to identify training needs and improve client support strategies.
- Enhance job knowledge through self-learning opportunities and professional networking.
