Key Responsibilities:
- Coordinate and execute transportation arrangements by booking, managing, and tracking loads within the Transportation Management System (TMS).
- Monitor the shipment lifecycle, load boards, and team mailboxes to ensure timely updates, issue resolution, and operational continuity.
- Schedule and coordinate pickup and delivery appointments with customers, receivers, and other stakeholders.
- Perform accurate data entry, load creation, and shipment updates within logistics and transportation management systems.
- Manage operational exceptions by proactively identifying, investigating, and resolving standard and knowledge-based issues.
- Communicate professionally with customers via email and phone to provide timely shipment updates and resolve inquiries.
- Facilitate customer interactions by providing shipment status updates and proactively addressing potential delivery risks or service issues.
- Develop, maintain, and continuously improve Standard Operating Procedures (SOPs) to support operational excellence.
- Generate, validate, and distribute daily, weekly, and monthly operational reports to support business performance and decision-making.
- Perform reconciliation of shipment, operational, and transactional data across multiple reports and systems to ensure data accuracy.
- Collaborate with cross-functional teams, including operations, customers, and carriers, to ensure seamless transportation execution and service delivery.
- Support the delivery of training sessions for customers and internal teams on transportation systems, processes, and operational procedures.
- Identify and recommend process improvement opportunities to enhance operational efficiency, reduce costs, and improve service quality.
- Provide operational support and guidance to team members while contributing to overall team performance and productivity.
- Ensure compliance with defined Service Level Agreements (SLAs), operational standards, and key performance metrics.
Eligibility Criteria:
- Possess 1+ years of experience in logistics, supply chain, transportation, or operations support roles.
- Demonstrate strong data entry and data management skills with a high level of accuracy and attention to detail.
- Be proficient in Microsoft Excel, including sorting, filtering, basic formulas, and report generation.
- Have hands-on experience working with Transportation Management Systems (TMS) or similar logistics platforms.
- Demonstrate the ability to manage operational workflows, shipment tracking, load planning, and transportation coordination.
- Possess a solid understanding of logistics operations, including shipment planning, scheduling, execution, and delivery processes.
- Exhibit strong verbal and written communication skills to effectively interact with customers, carriers, and internal stakeholders.
- Have experience supporting US and UK customers and the flexibility to work across EU/UK time zones.
- Demonstrate a proactive, self-motivated approach with the ability to perform effectively in a fast-paced operational environment.
- Possess strong organizational and time management skills with the ability to prioritize multiple tasks effectively.
Preferred Skills:
- Demonstrate strong stakeholder management and customer service skills to ensure effective collaboration and issue resolution.
- Possess the ability to proactively identify operational issues and drive timely resolution or appropriate escalation.
- Have experience in exception management, operational troubleshooting, and resolving logistics-related challenges.
- Exhibit strong analytical and reporting skills to support operational monitoring and business decision-making.
- Demonstrate the ability to deliver basic system and process training to internal teams and external stakeholders.
- Possess experience in developing, maintaining, and documenting Standard Operating Procedures (SOPs).
- Have prior experience in the logistics, supply chain, or transportation domain.
- Possess knowledge of Electronic Data Interchange (EDI) concepts and formats, including X12, XML, and Flat Files.
- Be familiar with load boards, shipment tracking tools, and operational reporting dashboards.
- Demonstrate knowledge of process improvement methodologies and continuous improvement practices.
- Exposure to SAP is considered an added advantage.
