Key Responsibilities:
Support Process by Managing Transactions in Accordance with Quality Standards:
- Respond to incoming help requests from clients via telephone and/or email in a courteous and professional manner.
- Record all relevant end-user identification details, including name, department, contact information, and the nature of the issue.
- Maintain accurate availability status in the RAVE system to ensure process productivity.
- Log and track all queries, document steps taken for resolution, and record successful or unsuccessful outcomes.
- Follow standard procedures and guidelines to address client issues efficiently.
- Resolve client queries within the timelines defined by SLAs in the contract.
- Utilize internal knowledge bases, resources, and FAQs to deliver effective resolutions.
- Acquire knowledge of product details to improve client interaction and troubleshooting effectiveness.
- Analyze call logs to identify recurring issues and implement preventive measures.
- Maintain and update self-help documentation to reduce resolution time for clients.
- Identify critical issues and escalate to the team leader when necessary to ensure timely resolution.
- Ensure clients receive complete product information and necessary disclosures before and after service interactions.
- Adhere to service agreements to mitigate legal risks.
Deliver Excellent Customer Service Through Effective Diagnosis and Troubleshooting:
- Provide product support by diagnosing issues and guiding users through step-by-step solutions.
- Assist clients in navigating product menus and enhancing their understanding of features.
- Address client concerns in a courteous, professional, and user-friendly manner.
- Maintain accurate records and logs of all customer interactions according to guidelines.
- Process and document all incoming calls and emails using designated tracking tools.
- Offer suitable alternative solutions to retain clients and maintain strong relationships.
- Communicate clearly and effectively, adapting messages to suit various audiences and situations.
- Conduct follow-ups and scheduled callbacks to gather feedback and ensure SLA compliance.
Build Capability to Ensure Operational Excellence and Superior Customer Service:
- Participate in ongoing product training sessions to remain updated with new features and changes.
- Complete any client-mandated or recommended training programs to enhance skills.
- Collaborate with team leaders to identify common training needs and themes for better client service.
- Continuously expand job knowledge through self-learning opportunities and networking.
