Key Responsibilities:
- Utilization Tracking: Track and monitor resource utilization to ensure data remains the single source of truth for capacity planning, with the goal of minimizing bench time and preventing resource burnout due to over-assignment.
- Capacity Coordination: Coordinate regularly with Project Managers (PMs) to understand current team bandwidth and manage upcoming project transitions, including leading the assignment extension process or marking resources as available for new opportunities.
- Cross-Functional Collaboration: Collaborate with Project Delivery Teams and Resource Managers (RMs) to identify cross-functional process challenges and escalate issues when necessary.
- Reporting & Compliance: Prepare and share weekly status reports to highlight missing assignments, expired opportunities, and other data gaps to support accurate leadership decision-making.
- Systems Thinking: Apply systems thinking to understand how opportunities at different stages trigger resource assignments and influence overall staffing needs.
- Status Reporting: Monitor and report inconsistencies such as ghost assignments (resources assigned to projects that have not started) and expired assignments (resources billing to closed projects).
Data Hygiene Stewardship:
- Act as the primary owner of data cleanliness within Salesforce PSA.
- Ensure high levels of accuracy through high-volume data entry and administration, making sure every project, resource, and hour is properly accounted for within the system.
- Reconcile assignments and clean up “zombie” opportunities that lack active action plans.
- Standardize naming conventions and data entry protocols across the system.
- Perform monthly audits to ensure that real-world project activities align with the data recorded in the Resource Management Tool.
Change Management & Process Adoption:
- Process Enhancement: Analyze current operational workflows to identify bottlenecks and recommend scalable improvements to enhance operational efficiency.
- Process Advocacy: Support the rollout of new operational workflows and guide teams in adopting improved processes.
- Continuous Improvement: Continuously evaluate process efficiency and recommend enhancements to streamline data entry and operational workflows.
- Documentation & Training: Develop simple documentation such as checklists, quick guides, or short videos to support adherence to Resource Management and Data Hygiene protocols.
- Data Standards Accountability: Ensure stakeholders follow established data standards and reinforce the importance of maintaining accurate system records.
- Efficiency Driver: Identify inefficiencies in the day-to-day workflow of Resource Operations Managers (ROMs) and implement improvements to streamline processes and reduce time-to-staff.
Eligibility Criteria:
- 12 to 24 months of relevant overall work experience.
- Ability to effectively manage upward and collaborate across teams to obtain information from busy stakeholders without creating operational bottlenecks.
- Ability to maintain accountability standards for data integrity by ensuring stakeholder compliance with established protocols and system requirements.
- Strong professional communication skills with the ability to interact effectively across different organizational levels, including senior leadership.
- Demonstrated ability to foster cross-functional collaboration and coordinate effectively with multiple teams.
- Excellent problem-solving skills with a proactive approach to maintaining data accuracy and operational efficiency.
