Key Responsibilities:
Transaction Management & Process Support:
- Manage transactions in accordance with required quality standards.
- Respond to client inquiries via phone and email in a professional and courteous manner.
- Document client details, including name, department, contact information, and issue description.
- Maintain availability status in the RAVE system to ensure optimal productivity.
- Track, document, and analyze all queries received, problem-solving steps taken, and resolution success rates.
- Follow standard procedures to resolve client issues as per the Service Level Agreements (SLAs).
- Access and utilize internal knowledge bases, resources, and FAQs to provide effective solutions.
- Stay updated on product details to enhance client interactions and troubleshooting capabilities.
- Analyze call logs to identify recurring issues and proactively mitigate future problems.
- Maintain and update self-help documentation for clients to improve resolution times.
- Identify critical issues and escalate unresolved cases to the Team Leader for timely resolution.
- Ensure clients receive all necessary product information and disclosures before and after interactions.
- Adhere to service agreements to mitigate legal risks.
Customer Support & Troubleshooting:
- Deliver exceptional customer service through effective diagnosis and troubleshooting of client issues.
- Provide product support by guiding clients through step-by-step solutions.
- Assist clients in navigating product menus and understanding key features.
- Troubleshoot customer queries in a user-friendly, professional, and courteous manner.
- Maintain logs and records of all customer interactions as per standard procedures.
- Accurately process and document all incoming calls and emails using designated tracking software.
- Offer alternative solutions where applicable to enhance customer retention and satisfaction.
- Communicate effectively with clients, tailoring responses to different situations and audiences.
- Follow up with clients through scheduled callbacks to gather feedback and ensure SLA compliance.
Capability Building & Operational Excellence:
- Stay updated on product features, changes, and updates through regular training.
- Participate in client-recommended training programs to enhance product knowledge.
- Collaborate with team leaders to identify training needs and improve service delivery.
- Engage in continuous learning opportunities to enhance job knowledge and maintain industry expertise.
