Key Responsibilities:

  • Responding to all incoming help requests from clients via phone and/or email in a courteous manner.
  • Documenting all pertinent end user identification information, including name, department, contact information, and nature of problem or issue.
  • Update your own availability in the RAVE system to ensure process productivity.
  • All queries received, problem-solving steps taken, and total successful and unsuccessful resolutions should be recorded, tracked, and documented.
  • To resolve all client inquiries, adhere to standard processes and procedures.
  • Resolve client inquiries in accordance with the contract’s SLAs.
  • To assist in and provide effective problem resolution to clients, access and maintain internal knowledge bases, resources, and frequently asked questions.
  • Identify and learn relevant product details to improve client interaction and troubleshooting.
  • Document and analyse call logs to identify the most common trends and prevent future problems.
  • Maintain and update customer self-help documents to reduce resolution time.
  • In cases of late resolution, identify red flags and escalate serious client issues to Teamleader.
  • Ensure that all product information and disclosures are provided to clients both before and after they call/email.
  • By following service agreements, you can avoid legal problems.

Deliver Excellent Customer Service:

  • Clients can receive product support and resolution by performing a question diagnosis and guiding them through step-by-step solutions.
  • Assist customers in navigating product menus and gaining a better understanding of product features.
  • All client inquiries must be resolved in a user-friendly, courteous, and professional manner.
  • Keep logs and records of all customer inquiries in accordance with standard procedures and guidelines.
  • Using the designated tracking software, accurately process and record all incoming calls and emails.
  • Provide clients with alternative solutions (where appropriate) with the goal of retaining customers’ and clients’ business.
  • Organize thoughts and effectively communicate oral messages that are appropriate for the listeners and situations.
  • Follow up with customers and make scheduled calls to collect feedback and ensure contract/SLA compliance.
  • Attend product trainings to stay up to date on product features, changes, and updates.
  • Enroll in product-specific training as well as any other trainings recommended by the client.
  • Collaborate with team leaders to identify training themes and learning issues in order to better serve the client.
  • Maintain personal networks and participate in self-learning opportunities to keep job knowledge up to date.
