Key Responsibilities:
Support Process by Managing Transactions as per Required Quality Standards:
- Handle all incoming help requests from clients via phone and email in a courteous and professional manner.
- Document essential end-user information such as name, department, contact details, and the nature of the issue.
- Update personal availability in the RAVE system to ensure process productivity.
- Record, track, and document all received queries, steps taken for resolution, and outcomes (both successful and unsuccessful).
- Follow standardized processes and procedures to resolve client queries efficiently.
- Resolve client issues in accordance with the Service Level Agreements (SLAs) defined in the contract.
- Access and utilize internal knowledge bases, resources, and FAQs to support effective issue resolution.
- Acquire knowledge of relevant product features to enhance client interaction and troubleshooting.
- Analyze call logs to identify frequently occurring issues and prevent future occurrences.
- Maintain and update self-help documents to enable faster resolution times for clients.
- Identify red flags in client interactions and escalate critical issues to the team leader when necessary.
- Ensure clients receive all relevant product information and disclosures before and after handling their requests.
- Maintain compliance with service agreements to avoid legal issues.
Deliver Excellent Customer Service through Effective Diagnosis and Troubleshooting:
- Provide product support and resolutions by performing diagnostic questioning and guiding clients through step-by-step solutions.
- Assist clients in navigating product interfaces and explain product features clearly.
- Troubleshoot client queries in a friendly, professional, and easy-to-understand manner.
- Maintain accurate logs and records of all customer queries following established procedures and guidelines.
- Accurately log all calls and emails using the assigned tracking software.
- Offer alternative solutions when applicable, aiming to retain the customer’s business.
- Organize thoughts effectively and communicate messages clearly to suit various situations and audiences.
- Follow up with clients through scheduled callbacks to gather feedback and ensure SLA compliance.
Build Capability to Ensure Operational Excellence and Superior Customer Service:
- Participate in product training sessions to stay updated on new features, changes, and updates.
- Enroll in product-specific and other recommended training programs as per client requirements.
- Collaborate with team leaders to identify training needs and develop learning strategies to improve client service.
- Continuously update job knowledge through self-learning opportunities and networking within the field.
